What we collect
When you request a trial or contact us, we collect the details you provide (name, email, phone, business name and message). When visitors chat with a Sophia widget on a business's website, we store the conversation content needed to operate that business's receptionist service.
How we use it
Trial requests and contact messages are used solely to respond to you and provision your service. Widget conversations are processed to answer enquiries and create bookings for the specific business whose site the visitor is on — never to train models for other purposes.
Tenant isolation
Each business workspace is isolated at the database level using row-level security. No business can access another business's conversations, customers or appointments.
Third-party processors
We use Google (Gemini models) for AI processing, Google Calendar for scheduling integration where enabled, Safepay for subscription payments, and standard email delivery services. Data is shared with these providers only as needed to deliver the service.
Data retention & deletion
You can request export or deletion of your data at any time by contacting us. Deleting your account removes your workspace data from our systems.
